Guests and tickets

Graduation is a popular event; the ceremony venue has a fixed limit on the number of seats, and so we are only able to guarantee up to 2 guest tickets available for purchase per graduating student. All guests will require a ticket to enter the auditorium.

In your "Graduation Task" you will be asked to indicate how many guests (up to 4) you would like to attend your ceremony, each of whom will require a guest ticket, charged at £26 each. Please be aware that there is a maximum capacity at the venue for Health and Safety reasons and therefore we ask that only students and guests with tickets attend

Paid guest tickets will not be sent out in advance. They will be available for collection when students register to attend on the day of their ceremony. Please also be aware that once paid for, we cannot offer refunds for guest tickets no longer required.

In order to share the available ceremony tickets as fairly as possible, we will carry out 2 guest ticket allocations. Please be aware that any tickets allocated to you in the first allocation window will be removed if not paid for by 9am on Monday 3rd December.

All tickets must have been pre-purchased, and there will be no extra tickets available for sale on the door. As the event is being held at an external venue we are obliged to follow their established health and safety protocols as regards to maximum numbers, so we will be unable to make any exceptions.

The event will be live streamed on the day to allow those unable to attend to see it in real-time.

The eVision task also provides the opportunity to request any visa letters and/or to give details of any additional requirements due to disability. Common accessibility needs are listed in the "My Graduation" task, together with a link to further details concerning the venue’s accessibility.

How do I know how many tickets I have?

To purchase tickets in the first allocation window, you must have completed your eVision Graduation invite task and request guest tickets by the deadline (12:00pm Sunday 25th novermber 2018) and be eligible to attend.

It is not until after the November examination boards have taken place that we have an idea of the number of students both able to, and wishing to attend. We then begin our ticket allocations; this is a fair process calculated by demand and we always allocate the same maximum number of guest tickets. We are unable to make individual exceptions as we have to be fair and transparent to all due to the demand on tickets.

Please also be aware that once paid for, we cannot offer refunds for guest tickets no longer required.

You will be able to see your allocation via the My Graduation tab in eVision once the first allocation has taken place on Monday 26th November at 12:00pm

Further allocations will occur following this to cater for those awarded after this date or for those who have had to make decisions on elective reassessment.

What do I do if my guests or I need a visa to attend my ceremony?

When completing the Graduation Task, you will be asked whether you or your guest(s) require a visa to visit the UK to attend your Graduation Ceremony. If you will be applying for a visitor visa, you will be able to request a letter via the Graduation Task in eVision that can either posted, emailed or collected from the Student Centre.

Please note when you are requesting this letter for your guest(s), you will need to supply the details of their full names (as per their passport) and their relationship to you. This letter should be submitted alongside the visa applications.

Do I have to pay for all my guest tickets?

All guest tickets, including the two guaranteed tickets, are charged at £26 each and all guest tickets must be paid for. There is a complimentary drink included with the ticket.

Please be aware that there is a maximum capacity at the venue for Health and Safety reasons and therefore we ask that only students and guests with tickets attend the ceremony.

Can I buy tickets for young guests?

Theatre (i.e. ticketed) entry is not permitted for children 6 years old and below (ie children need to be 7 or older to enter the theatre).

Degree ceremonies are quite long (about an hour and a half, further extended by the time sitting in the theatre before the ceremony starts) and are not designed to appeal to young children. We find that even well-behaved children find it difficult to cope with this and to remain quiet throughout the ceremony. Therefore children who are 6 or younger cannot be accommodated within the theatre.

In addition, because of fire regulations, any child 7 or older entering the theatre must have a separate seat (and ticket) and cannot be accommodated by sitting on an adult’s lap.

Are there any child care facilities available for Graduation?

Please note that we are not able to provide any childcare facilities on the day and that a parent, guardian or family member must remain with children at all times.

How do I pay for my guest tickets?

The ticket task in eVision, which becomes live once your tickets have been allocated, provides a drop-down menu of payment methods including on-line payment and payment via the cash office either by phone or in person. Please do complete the task prior to visiting the cash office, if this is your chosen payment method.

To secure your first allocation tickets they must be paid for by 9:00am on Monday 3rd December 2018. Unpaid ticket allocations will be removed after this deadline.

To secure your second allocation tickets they will need to be paid for by 12:00pm on Wednesday 12th December 2018 - Again unpaid ticket allocations will be removed after this deadline.

We are unable to take payments at the Central Hall Westminster.

How will I collect my guest tickets?

All tickets are to be collected in person at Registration on the day of your ceremony. Registration (which is for students only) opens 2 hours prior to your ceremony start time and remains open for 1 hour.

When you register your attendance for your Graduation ceremony, you will be given your ticket for entry to the theatre, which will include your seat number. You will also be given any guest tickets that you have paid for. Please remember to bring photographic ID with you to register.

Students must be registered and in the theatre wearing their gown at least half an hour prior to the official ceremony start time.

Will I be seated with my guests?

No.

Graduating students are seated together in the centre aisles in the theatre in the order they will process across the stage to collect their certificates. Students are seated with those they have studied with while at Brunel.

Guests are seated in blocks at either end of the auditorium, facing both the student seats and the stage.

Will I be able to get more guest tickets than I have been allocated?

Unfortunately there will be no extra tickets available for sale on the door. As the event is being held at an external venue we are obliged to follow their established health and safety protocols as regards to maximum numbers, so we will be unable to make any exceptions.

You need to ensure that depending on your requirements, all desired tickets are requested in the first and second guest ticket allocations.

What should I do if I do not need all the tickets that have been allocated for me to buy?

Unfortunately if after both the first and second ticket allocations you do not have the number of guest tickets you require, the university are unable to issue any further guest tickets.

After your allocation becomes visible please ensure that you only pay for the guest tickets that you require; we are unable to provide refunds for tickets no longer needed.

What should I do if my guest has additional requirements?

If any of your guests have additional requirements you will be asked to give details in your eVision Invitation Task. You will be contacted close to your ceremony to confirm arrangements; normally after the ticket allocation has been done.

 

Important Notes

All guests will need a ticket to be admitted to a ceremony.

Children aged 6 and under cannot be admitted, with or without a ticket, and there will be no childcare facility.

Students will be seated together, so they can be guided to the stage in the correct order for their name to be called and their certificate issued. Consequently guests are seated separately but do not have allocated seats.

As noted above, given this year's demand and the venue's capacity, additional tickets will not be available on the day.

We operate a "no refund" policy, although you are able to change the number of guest tickets requested by returning to the "My Graduation" task in eVision and editing your response.

Ticket confirmation and payment

To apply for guest tickets (£26) there will be two allocation and payment windows.

The first guest ticket request will need to be made by completing your eVision task by 12:00pm on Sunday 25 November 2018

The following explains each subsequent deadline and when extra tickets can be requested.

WIFI is limited in the registration area of the venue and we are unable to facilitate payments on the day of the ceremony.
