Creating bibliographies

Assuming that you are working on your own PC, you need to download a utility program called Write-N-Cite in order to create a bibliography. With Write-N-Cite downloaded, you can start inserting citations in your document and when you are ready, you can create the bibliography. The “Output Style Manager” enables you to select favourite referencing styles, but very few of them support footnotes.

Downloading Write-N-Cite

Write-N-Cite is an add-on for Microsoft Word that enables you to insert your RefWorks references into a Word document. This has been installed on Brunel’s networked PCs. On your own PC or laptop you will need to download the Write-N-Cite plug-in utility. For reasons of compatibility with Brunel’s networked PCs we advise downloading version III from RefWorks via the Tools menu. However, please be aware that version III of the RefWorks Write-N-Cite software is incompatible with the Kasperksy anti-virus software. If you use Kaspersky you will either have to deactivate the anti-virus software whilst using RefWorks or, alternatively, you can download the most recent version (referred to as version 4) of Write-N-Cite which is compatible with Windows XP, Vista and Windows 7. It works differently from version III (although the principles are exactly the same) as it sits within the Microsoft Word 2007 and 2010 ribbons rather than being a separate piece of software.

You should not encounter any problems with Windows versions of Word, but issues have been reported when using the .docx format of Word with Macs.

In order to use Write-N-Cite, you will probably be working on your own PC, laptop or Mac. You should download Write-N-Cite as follows:

  1. Login to RefWorks
  2. Click on <Tools/Write-N-Cite> in the menu bar
  3. A new window will open
  4. Click on 'Previous Windows Versions' and then 'Write-N-Cite III for Word' to download version III, or, 'Write-N-Cite for Word (32 bit)' to download the most recent version
  5. Click on the <Save> button when prompted
  6. Follow the Wizard instructions to install Write-N-Cite

Opening Write-N-Cite

You only need to download the Write-N-Cite utility program once.

Login to version III of Write-N-Cite as follows:

  1. Click on the <red and white Write-N-Cite icon> saved to your desktop or search for it in your programs/files
  2. Enter the Brunel group code: RWBrunelU, as necessary
  3. Enter your RefWorks login name and password when prompted

Login to version 4 of Write-N-Cite as follows:

  1. Open your Word document
  2. Click on the RefWorks tab in the Ribbon (aka menu bar)
  3. Click on <Login> and enter your RefWorks credentials (Brunel Group code, Login name and password)

Once you have opened your Word document start inserting citations as follows (using version III):

  1. Position the cursor, where you want to insert a citation
  2. Change to <Write-N-Cite> on the task bar
  3. Use the View drop-down menu to open a folder
  4. Link to <Cite> next to the reference to be cited
  5. Insert other citations, swapping between Word and Write-N-Cite as required

If you want to produce a direct citation, where the reader is directed to a particular page, e.g. (Brown, 1997 p.45), you can either edit the citation when your document is completed or use the edit citation feature. After completing steps 1-5 above continue as follows:

  1. Click on <Edit citation> in the top right corner of the screen
  2. In the 'Specific Page' box, enter /f p.nn, or, /f: nn (as appropriate to the version of Harvard you are using)
  3. Click on the <Save to Word> button

Creating a bibliography

You can create a bibliography for your document, choosing from many different referencing styles, including Harvard, APA, IEEE, MLA and OSCOLA.

  1. Insert citations into your document (as above)
  2. Click on <Bibliography> in the Write-N-Cite menu bar
  3. Select your required referencing style, using the "Output Style" drop-down menu
  4. Link to the <Create Bibliography> button
  5. Your document will be updated, with both citations and bibliography in the requested referencing style

Output style manager

The “Output Style Manager” enables you to select/deselect the referencing styles that you want to use within Write-N-Cite. You should find that Harvard, APA, MLA and OSCOLA are already included amongst your favourites, but perhaps there will be another style that you want to add. The “Output Style Manager” can be accessed within RefWorks using the Tools drop-down menu.

  1. Start with RefWorks already open
  2. Link to <Output Style Manager>, on the right-hand side of the screen under the green "Quick Access" banner
  3. Highlight an additional style, e.g. IEEE
  4. Link to the green arrow called "Add to favourites"

It's recommended that, instead of Harvard, you use the Harvard (Brunel University) style, which inserts brackets around dates in references and provides in text citations with the following features:

  • Comma between the author(s) and year, e.g. (Rose, 2007)
  • Ampersand not a comma as the separator between two authors, e.g. (Dawes & Rowley, 1998)
  • Semi-colon not a comma as the separator between multiple adjacent citations, e.g. (Dawes & Rowley, 1998; Rose, 2007)

If Harvard (Brunel University) is not already amongst your referencing style favourites, you will need to add it using the “Output Style Manager”.

Footnotes

Several of the referencing styles in RefWorks support footnotes including:

  • Chicago 16th Edition (Notes and Bibliography)
  • MHRA-Modern Humanities Research Association (Notes and Bibliography)
  • MLA 7th Edition
  • OSCOLA 4th Edition
  • Turabian 7th Edition (Notes)

Having opened Write-N-Cite and Word

  1. Position the cursor in your Word document, where you want to insert a citation
  2. Create a footnote by selecting the <References> tab and then link to <Insert Footnote>
  3. Change to <Write-N-Cite> on the task bar
  4. Use the View drop-down menu to open a folder
  5. Link to <Cite> next to the reference to be cited
  6. When you create the bibliography, RefWorks will insert the reference into the footnote in the correct format

If appropriate for the referencing style, RefWorks will also create a bibliography at the end of the document, in addition to the footnotes.

Creating a bibliography from a list of references

It's possible to create a bibliography from a list of references, in a specific folder or all your references. For example, an academic might find this feature useful for a reading list.

  1. Start with RefWorks already open
  2. Link to the <Create Bibliography> button
  3. Select the “Output Style” using the drop-down menu, e.g. Harvard (Brunel University)
  4. Select <Word for Windows> from the “File Type” drop-down menu
  5. Select all references or references from a particular folder
  6. Link to the <Create Bibliography> button
  7. Save the file on Word
