Hillingdon Vision - Volunteer Administrator

Details of the Charity:

A new idea in community services; Hillingdon Vision was formed in 2019 by enthusiastic local people with a love for helping others, who decided to create an organization solely focused on making Hillingdon a better place for all.

Hillingdon Vision aims to improve Hillingdon through its; media work, community projects, events, and charitable services.

Open to people of all backgrounds our volunteer program allows those working with us to attend and take part in a wide variety of activities.

Details of the Volunteering Opportunity:

The Volunteer Administrator will support the Management team in the recruitment and management of the volunteer team, ensuring that we offer our volunteers a rewarding, varied, and enjoyable volunteering experience.

Specific Duties Include:

  • Maintain, administer and update the Volunteering database and rota under guidance from the Volunteer Manager, ensuring volunteers’ personal details are correctly stored.
  • Monitor and respond to inquiries from potential volunteers, and maintain and update the Enquires page of the Your Volunteering database.
  • Administer the volunteer recruitment process ensuring role profiles are up to date, potential volunteers are communicated with promptly, volunteer interviews are organized and followed up and potential volunteers are placed in departments appropriately and efficiently with the necessary Induction, paperwork and registration completed.
  • Administer volunteer expenses, Christmas cards, volunteer passes, emergency contact details, ANPR forms, and long service records. • Recruit volunteers both internally and externally for a number of events in the Waddesdon calendar, ensuring they are fully aware of what is expected of them.
  • Maintain regular communications (both by email and post) with the volunteer team ensuring they are up to date with news and developments at Waddesdon and answering any inquiries from the existing volunteer team.
  • Assist with organization of a variety of volunteer and staff social and training events, administer and co-ordinate RSVPs. Confirm attendance prior to the event, and monitor on the day.
  • Undertake any other administration relating to volunteering as requested by the Volunteer Manager.

Skills Required:

  • Excellent communication skills both written and oral
  • Experience of working in a people-oriented environment
  • Excellent IT skills – good experience with Microsoft Office including Word, Excel, and Microsoft Outlook.
  • Experience in using and managing databases.
