The @my.brunel service is based on the Google Apps for Education™ program and is supplied under contract to Brunel by Google. At Brunel University, we refer to this as @my.brunel. Google Apps is a suite of products available to educational institutions from Google.

The benefits of the new system are significant – they include:
- A substantial email quota of 25 GB per user
- Access to Google Mail, Google Calendars and Google Contacts
- The ability to collaborate via Google Chat
- The option to send emails using a ‘friendly’ email address in the form firstname.surname.number@my.brunel.ac.uk e.g. joe.bloggs.x@my.brunel.ac.uk (x is an incremental number to prevent name clashes)
All current and new undergraduate and taught postgraduate students have an email address ending with @my.brunel.ac.uk. This also includes graduands leaving from June 2012 onwards. This address remains with you even after you have left the University (subject to terms and conditions).
Will I have this Google account for life?
The account supplied to you as part of the University degree award is advertised as an email “account for life”. However, the facility may be modified or terminated by both Brunel University and/or by the service host (Google). Terms and conditions of the service contract between Brunel University and the service host may change following any discovered or suspected misuse or compromise of the account, or for other reasons of due cause.

@my.brunel – Google Apps guide for Brunel alumni
What is @my.brunel?
Since June 2012, Brunel alumni who have completed an undergraduate or taught postgraduate course have been allowed to retain access to their Brunel email through an email address ending with @my.brunel.ac.uk. As an alumnus, this happens provided that you have been awarded by Brunel. Please note however that the University’s provision of these services is subject to terms and conditions agreed with our supplier.
It is important that you register for password self-service at http://www.brunel.ac.uk/password in case you forget your password at a later date and need to reset it.
Will I still be able to contact members of Brunel?
Yes, you will still be able to contact Brunel staff members, current students and alumni.
All undergraduate and taught postgraduate students have an @my.brunel account. Postgraduate research students and staff have retained their existing email accounts and email address details. You will be able to look up current students and alumni via the @my.brunel Global Address List.
What is my email address?
You have three email addresses available within your @my.brunel account. These are:
• Primary email address: username@my.brunel.ac.uk e.g. me99ikb@my.brunel.ac.uk
• studentnumber@my.brunel.ac.uk e.g. 0123456@my.brunel.ac.uk
• firstname.lastname.x@brunel.ac.uk e.g. joe.bloggs.x@my.brunel.ac.uk (x is an incremental number to prevent name clashes)
Your display name will have (Alumni) added to it, e.g. Joe Bloggs (Alumni).
You can give your correspondents any one of these three addresses and they will be able to contact you. Mail sent to all three addresses goes to the same account.
How do I log into my account?
Navigate to the Brunel home page at http://www.brunel.ac.uk. On the Current Students and Staff (intranets) page, click on the Webmail link. Alternatively, you can go straight there via http://www.brunel.ac.uk/webmail and by then clicking on the Alumni button. Please use your student number as username and current password to log in.
How do I change my password within my @my.brunel account?
You can change your password within your @my.brunel account by clicking on the gear cog icon in the top right hand corner of the screen and selecting Mail Settings. Click on the Account tab then on Google Account settings and finally on Change password, then follow the instructions given.
I have forgotten my @my.brunel account password, what do I do?
If you have registered for Password Self Service then you can reset your password by clicking on this link: Password Self Service. Otherwise please contact the Alumni Support team (contact details are shown below).

How do I log into my account?
On campus
From the IntraBrunel page, click on the Webmail link and you will be taken to the log in page. Alternatively, you can go straight there via http://www.brunel.ac.uk/webmail. Click on the Undergraduate button (undergraduate students) or the Masters button (postgraduate taught students) and then enter your username (student number) and current password.
Off campus

You can work out your friendly address by clicking on Mail, then Compose Mail once you have logged into your @my.brunel account. You will be able to see your friendly address from the drop-down list.
I’ve reset my Brunel Network account password. Does that mean that I will need to reset my password in my @my.brunel account?
If you reset your Brunel Network account password, your @my.brunel account password will reset to the same password automatically.
What happens if I reset my password in my @my.brunel account?
If you reset your password in your @my.brunel account, please note that this will not reset the password on your Brunel Network account and that this password will remain the same as it was before.

What happens if I delete my email from my Google Apps account?
If you delete your email from your @my.brunel account, it will be gone forever and we will have no way of retrieving the messages for you. We would therefore strongly advise you to archive messages you need to retain.
Do I need to comply with any Brunel University policies when using my @my.brunel account?
Please be aware that you will need to comply with the Brunel Acceptable Computer Use Policy (BACUP) and the Electronic Mail Policy.

Student-PGR
@my.brunel - Information for Postgraduate Research (PGR) students
At the present time, students undergoing PGR (PhD) studies are not included in the @my.brunel powered by Google AppsTM project. Your email address will also continue as firstname.surname@brunel.ac.uk.
Staff
@my.brunel - Quick guide for staff
At the present time, staff and postgraduate research students are not included in the @my.brunel powered by Google Apps project. Staff will continue to have Microsoft Exchange accounts created within the Brunel Environment as before. Your email address will continue as firstname.surname@brunel.ac.uk. Information regarding @my.brunel on Google Apps is outlined below.
What is Google Apps?

At Brunel University, we refer to this as @my.brunel. This service is given to current undergraduate and taught postgraduate students and Brunel alumni. As part of this they receive an email account with an @my.brunel.ac.uk address.
Which services are available to students?
Google Mail, Google Calendars, Google Chat and Google Contacts are available. We plan to introduce Google+, Google Docs and Google Video at a later stage.
Will Brunel students be able to keep their Brunel email after they graduate?
Yes, all Brunel undergraduate and taught postgraduate students will be able to keep their @my.brunel email, provided they have been awarded by Brunel. Please note however that the University’s provision of these services is subject to terms and conditions agreed with our supplier.
How do I send an email to my students or alumni?
The email address convention for your students has now changed following the move of all undergraduate and taught postgraduate students to the @my.brunel.ac.uk domain. This has taken place due to the introduction of the @my.brunel service, powered by Google Apps for EducationTM. Their email address is in one of three formats:
username@my.brunel.ac.uk e.g. me99ikb@my.brunel.ac.uk
studentnumber@my.brunel.ac.uk e.g. 0123456@my.brunel.ac.uk
firstname.lastname.x@my.brunel.ac.uk e.g. joe.bloggs.x@my.brunel.ac.uk (x is an incremental number to prevent name clashes)
You can reach your students using any of the above email address formats. Mail sent to all three addresses goes to the same account.
Please note that postgraduate research students are not affected by this change and their email address will remain the same.
Using Auto-complete – important information
When you compose an email to Level 2 and 3 undergraduate and returning postgraduate taught students, and you enter their email addresses in the To: or Cc: fields using the auto-complete function, you may find that your message does not reach these students. You will receive a system-generated non-delivery notification message to inform you of this. If this happens, please proceed as follows:
1. Click on the To: or Cc: button as appropriate
2. Select Global Address List from the options available under Address Book
3. Search for the student you wish to add and then add them to the To: or Cc: field as appropriate
4. Click on the OK button. You will then see that the students have been added and you can continue composing your email in the normal way.
Once you have followed this procedure initially for each student, you are free to use auto-complete again if you wish. However, we would not encourage the use of auto-complete. This is because it is too easy to accept an auto-complete suggestion in error, thus increasing the risk of inappropriate data leakage. Further, your auto-complete history will vanish at a system refresh, so it is no substitute for contact management and must not be relied on.
Are students still listed in the Global Address List?
Current students are listed in the Global Address List. You will see a small globe icon next to their name to indicate that they have an @my.brunel email address. Brunel alumni will not be listed in the Global Address List.
Please note that students will not be able to look up your details on the @my.brunel Global Address List if they are emailing you for the first time. In view of this, please give students your email address and ask them to put it into their address book.
Are their emails treated as internal or external mail?
The domain @my.brunel.ac.uk is classed as external and therefore incoming messages from students pass through the MailScanner program to be scanned for viruses and spam. This may mean that some messages are quarantined by MailScanner, in which case you will need to ask for their release by emailing computing-support@brunel.ac.uk. Please ensure that you include the server name, message ID and date code information when requesting release of a message quarantined by MailScanner, which will appear in similar format to the example below:

How do I log in?
You can access this in three ways:
1. The URL www.brunel.ac.uk/webmail, using your student number as the username , followed by the network password.

I have received an email that I don't need to keep, should I delete it?

What is my account username and password?
Your username will be your student number, e.g., 0123456. Your password will be your Brunel Network account password.
I've forgotten my password. How can I reset it?
What happens if I delete my e-mail from my @my.brunel account?
If a student or alumnus deletes an email from their @my.brunel account, it will stay in the Bin folder for 30 days. After which it will be gone forever and we will have no way of retrieving the messages for them. We would therefore strongly advise you to archive messages when you know you don’t want the email. Select the “archive” message button – On the top of the messages the one with the downward arrow. The message will be removed from view and it won’t clutter your Inbox. You can always retrieve it at a later date via searches .
Which file attachment types are blocked from reaching my @my.brunel account?
The following file attachment types will not be accepted, even if they are sent within a zipped format (.zip, .tar, .tgz, .taz, .z, .gz, .rar):
.ade, .adp, .bat, .chm, .cmd, .com, .cpl, .exe, .hta, .ins, .isp, .jse, .lib, .mde, .msc, .msp, .mst, .pif, .scr, .sct, .shb, .sys, .vb, .vbe, .vbs, .vxd, .wsc, .wsf, .wsh
Any message containing these attachments will be bounced back to the sender automatically.
If you try to send a message containing these attachments, you will receive the following error message: "This is an executable file. For security reasons, Gmail does not allow you to send this type of file."
How does my personal Google account relate to my @my.brunel account?
Your personal Google account is completely separate from your @my.brunel account.
Can I keep both my personal Google account and my @my.brunel account open in the same browser?
Unfortunately, this is not possible. We suggest that you use one browser for your personal Google account and a different browser for your @my.brunel account.
Can I merge an existing Google account with my @my.brunel account?
Google does not allow you to merge separate Google accounts. You can change the settings in one account so that mail is forwarded to the other account. This is explained in more detail at: http://support.google.com/mail/bin/answer.py?hl=en&answer=10957.
Do I need to comply with any Brunel University policies when using my @my.brunel account?

How do I work out my friendly address?

You will be presented with the standard Google Mail login screen asking for a username and password. You need to enter the same username and password details; however please note that in the Username field, you will need to add @my.brunel.ac.uk after your student number, e.g., 0123456@my.brunel.ac.uk.

What if a student using @my.brunel.ac.uk changes their details, such as their name or their course?
If a student changes their course, then nothing will happen until the student's Brunel Network Account is renamed (actionable by Computing Support). Once the Brunel Network Account has been renamed, the student will have a new NetworkUsername@my.brunel.ac.uk address created for them, and their SITS Contact E-Mail address and entry in the Global Address List will be updated accordingly. However, their old NetworkUsername@my.brunel.ac.uk address will remain valid, it is not removed.
How do I send an email as one of the other aliases ?
Log in to your @my.brunel account , click on Compose (red button on the left hand side), you will notice a drop down list of three email addresses at the end of the 'From' field, select one of the list you want to use as your send mail address.
How do I change my default Send As address to another alias
By Default , your “ Send As” address will be username@my.brunel.ac.uk
In order to change your Default Send As Address – or to send an email as one of the other aliases do the following :
Login to your @my.brunel account , click on the Settings icon (cog wheels) on the far right hand side and select Settings from the list of options. Click on Accounts tab, then you can select the email address you would like to make as your default Send As Address.
